How to turn a meeting into notes with a free AI tool

Record only what you are allowed to record
Free AI meeting notes only work if you can keep the audio. Before the meeting, say you are recording for notes, or follow whatever your workplace already requires. If someone says no, take the notes yourself. Do not hide a phone.
Use the voice memo app already on the phone. You do not need a paid meeting bot. One file, named with the date and the meeting, is enough. A forty-minute weekly meeting is the right test. An all-day offsite is not.
Get a transcript, then one prompt
Free transcription plans cut off long files. If the recording is under the free limit, use it. If not, keep the parts where decisions were made and skip the status round. Otter’s free tier, or a short paste into ChatGPT, Claude, or Gemini, is enough. The chat window is the editor, not the recorder.
Paste the transcript under this prompt and do not add a second one:
- “Turn this transcript into notes. Four headings only: Decisions, Owners, Dates, Open questions.”
- “One line each. Use the names people actually said. If a date was not said, write ‘no date’ — do not invent one.”
- “Cut small talk, tool names, and anything that is not a decision or a task.”
- “Under 250 words.”
Fix three things by hand
Read the notes against the last two minutes of the recording, not the whole file. Check the number, the owner, and the date. Those are the three places a free model invents a tidy sentence that nobody said.
Send the notes the same day. A perfect rewrite on Friday is how the meeting disappears. If a line is wrong, fix that line. Do not ask the model to “make it more professional” after it is accurate.
How you know it saved time
Time the old way once: how long you spend rewriting notes after a normal meeting. Then time this way, including the recording check. You want the notes out in under fifteen minutes. If you are still editing at minute thirty, the prompt is too open or you recorded a meeting that had no decisions.
Keep the same prompt in a note on your phone. Next week you paste. You do not rewrite the instructions.
