How to turn a long email thread into three action lines
Paste the thread, run one prompt, and leave with what was decided, who owns it, and what is still open. Do not ask for a summary of the conversation.

Copy the thread, not the attachments
Open the email. Select from the newest message back to the first one that names the job. Copy that text. Leave the signatures, the legal footer, and any attached file. The model does not need the PDF to tell you who said yes.
If the thread is more than one screen of scrolling, stop at the message where the ask changed. A second paste for a different job is faster than one long paste that mixes two projects.
One prompt, then stop
Paste the thread into a free chat tool under this prompt. Do not add “be concise” or a second instruction:
- “Turn this email thread into three lines only: Decided, Owner, Still open.”
- “Use the names that appear. If a decision has no owner, write no owner. If nothing was decided, write nothing decided.”
- “Do not summarize the back-and-forth. Do not invent a next step that was not written.”
- “If the thread is a receipt or a newsletter, say so and stop.”
Check the three lines against the last message
Read the last email in the thread next to the three lines. The decided line has to match a sentence someone wrote, not a polite close. The owner has to be a name that appears, not “the team.” The still-open line is the question nobody answered.
Copy the three lines into the same note you already use for that project. Reply to the thread with the decided line if the group still needs it. Do not send the model’s wording unedited.
How you know it saved time
Time yourself once on a thread you would have reread. The paste, the prompt, and the check should finish under ten minutes. If you are rewriting all three lines, the thread had no decision, or you asked for a summary instead of the three fields.
Keep the prompt in a note. Next thread you paste under it. You do not rewrite the instructions.
How do I summarize an email thread with free AI?
Paste the thread under one prompt: decided, owner, and still open. Check the three lines against the last message before you reply.
