How to turn a whiteboard photo into action items
Photograph the board, run one prompt, and leave with what was decided, who owns it, and what is still open. Do not ask for a summary of the meeting.

Photograph the board, not the room
Stand close enough that the writing fills the frame. One board, one photo. If two boards matter, take two photos. Glare, a person in the corner, and a second board in the background are how a model invents a task.
Use the camera already on the phone. Check that you can read the last line and any name or date. If you cannot, the model cannot. Retake it before you leave the room.
One prompt, then stop
Open a free chat tool that accepts an image. Attach the photo. Paste this and do not add a second instruction:
- “Turn this whiteboard into three lines only: Decided, Owner, Still open.”
- “Use the names and words on the board. If a decision has no owner, write no owner. If nothing was decided, write nothing decided.”
- “Do not invent a next step that was not written. Do not clean up the wording into a plan.”
- “If the photo is a calendar or a doodle, say so and stop.”
Check the three lines against the board
Hold the phone next to the board, or open the photo full screen. The decided line has to match something written, not a polite close. The owner has to be a name that appears. The still-open line is the question or blank that nobody filled in.
Copy the three lines into the same note you already use for that project. Send the decided line to the group if they still need it. Do not forward the model’s wording unedited.
How you know it saved time
Time yourself once on a board you would have typed by hand. The photo, the prompt, and the check should finish under ten minutes. If you are rewriting all three lines, the board had no decision, or you asked for a summary instead of the three fields.
Keep the prompt in a note. Next board you paste under it. You do not rewrite the instructions.
