Three passes — Monday triage, a midweek draft block, and a Friday note dump. About ninety minutes total, using tools you already set up.

Monday: triage in twenty-five minutes
Sort the inbox into reply, read, and ignore. Do not answer yet. For the reply pile, paste each thread into your chat model with the four-line prompt: job is a reply, reader is the sender, constraint is the ask in sentence one, material is the thread. Skim, send the ones that are right, park the ones that need a fact you do not have.
Ignore stays ignored. The model does not get a vote on mail you would have archived.
Midweek: one draft block
Block forty minutes for the longer piece — the update, the proposal, the notes from a call. Start from bullets you wrote, not from “write me something about the project.” If you have a recording, transcribe first, then ask for decisions, owners, and dates.
End the block by filing the draft where you will find it. A perfect paragraph in a chat window is the same as losing it.
Friday: dump the notes
Twenty-five minutes. Paste the week’s loose notes into NotebookLM or a fresh chat and ask: “What did I say I would do, and what is unfinished?” Copy the unfinished list into your real task list. Close the chat.
That is the whole week. If a pass runs long, shorten the pile next time. The workflow dies when Friday’s dump becomes a second job.
